Turn your SOP into a tool your staff actually use
Written by Autonome. Updated 5 November 2026.
How do I get staff to actually follow a written procedure?
Stop relying on them to read it. Paste the procedure into Autonome and it builds a Gadget that does the steps for them: it opens the right inbox, reads the right file, checks the details and drafts whatever needs sending. Your staff see one button and the few things they need to fill in. You approve anything it sends or saves.
We built it this way because we watched the same thing happen in business after business. Someone senior writes a careful procedure and saves it to SharePoint. Six months later the new starter is doing it from memory, a little differently each time. A procedure only sticks when doing it is easier than skipping it.
- You try it on sample data before anyone else touches it.
- Every version is kept, so a change you regret is easy to undo.
| Step | Who | What happens |
|---|---|---|
| Paste the procedure | Whoever owns the process | Autonome reads the steps and drafts the Gadget |
| Try it on sample data | The same person | Nothing real is touched. Fix anything by asking in plain English |
| Choose its apps | An Owner or admin | Decides which connected apps this Gadget may use |
| Run it | Everyone else | One button. Emails and records wait for approval |
What makes a good first SOP
Pick something your office does every week, the same way each time, that touches more than one app. Chasing expired insurance certificates is a good one: open the tracker, find who has lapsed, look up their email, write a polite reminder, repeat. It's tedious copying between windows, and it's exactly what a Gadget is good at.
Leave out the procedures that are mostly judgement. A Gadget will happily draft the reminder, but deciding whether to keep working with a subcontractor who's three weeks late is still your call. The written version can live on in your Company Wiki & SOP Hub, so the reasoning stays with your people while the busywork goes to the Gadget.
Questions
Which procedures work best?
The boring, regular ones with clear steps: checking supplier bills, chasing documents, sending reminders, pulling together a weekly summary. If you could explain it to a new starter on one page, it will probably make a good Gadget.
Can staff change what it does?
No. Staff who run Gadgets only see the inputs and the button. The people you make AI Users can change a Gadget, and every earlier version is kept.
Can I see one working first?
Yes. The live Studio on our home page builds a Gadget from a pasted procedure, with sample data, so you can watch it happen without signing up.
